Based in our Guildford office; we are currently looking for an Investment Assistant to join our Portfolio Management team on a full time permanent basis, but would consider applications from candidates on a part time job share basis.
 
The role
 
To provide administrative support to the Office team and assist in the management of private client relationships and their investment portfolios.
 
1. General Administration

  • Handle day to day queries and administrative matters such as payments, setting up new accounts, updating databases, sending out client documentation, preparing/implementing mailshots and maintaining accuracy of client data on internal databases

  • Organise production, checking dispatch of valuations and client packs

  • Deal with compliance related matters such as collation and checking client documentation

  • Liaise with operational departments to ensure that data errors, transactional delays and any other operational problems are dealt with.  Act as liaison point for IT, Compliance and other support departments, ensuring that problems experienced by team members are addressed and sorted and suggesting improvements.

  • Collate and check all price/ yield data for half yearly review

  • Produce half yearly performance review data, for Investment Managers

  • Provide share price performance calculations on assets held/ assets monitored by Investment Managers

  • Liaise and monitor corrective action with the Central Administration team on corporate actions / incorrect postings

  • Send and check payment instructions to the Administration team for internal and external cash payments

 
2.  Supporting Portfolio Management

  • Take notes of portfolio changes required by Investment Managers and prepare investment review letters

  • Execute Symphony deals under Investment Manager’s supervision and arrange bulk trades for clients.

  • Ensure portfolios are loaded and set up correctly on Pulse, in conjunction with the Administration team

 
3. Responding to Client Queries

  • Support the Investment team in the development and management of client relationships, working as an integral member of a team, and reporting to one or more Investment Managers or Directors.

  • Will be known to clients and familiar with their particular needs and will deal with their day to day requirements and queries, being able to ensure that all required tasks are completed in the absence of senior management.

  • Deal with clients’ queries, e.g. on performance, elections for votes and corporate actions, cash/account statements.

  • Deal with Probate matters including sales and valuations

  • Work effectively on multiple projects with different project team members and under the direction of project leaders

  • Minimum of 2 years’ experience in a role requiring similar levels of attention to detail, numeracy and literacy e.g. banking/finance.
