Operations Officer (Sanlam Wealth Planning)

Based in our offices in Bristol; we are currently looking for an Operations Officer (FTC initially 6 months) to support some of the key, behind the scenes, administrative processes within Sanlam Wealth Planning.

Key to this role will be your strong administration and organisational skills, your attention to detail and your ability to liaise and build strong relationships with internal and external parties.

This would be a great role for candidates who may already have experience of the financial planning administrative process and are looking to enhance their knowledge and experience within the financial services industry – particularly with external stakeholders and third party providers. 
A structured and thorough handover process will be provided to any successful candidate.

The role
The key function of the Operations Officer is to work closely with both internal and external stakeholders playing a crucially important role in ensuring that relationships with third party product providers and any associated agencies are administered with an accuracy and a level of detail that supports many of the financial planning and operational processes that exist within Sanlam Wealth Planning.

As the Sanlam Wealth Planning agencies master administrator registered with these providers, duties will include but are not limited to:
Key Accountabilities:

  • The effective management of our agency relations to ensure that circa £14m of recurring and initial income is transacted without obfuscation.
  • Support and administer the integration of new clients into Sanlam Wealth Planning through the acquisition of clients or the on-boarding of a new Wealth Planner via the letter of authority or bulk novation process, liaising with Hubs, Finance, ISD as required.
  • Supporting Wealth Planners where providers not yet registered with Sanlam Wealth Planning are being considered as a suitable solution for our clients, engaging with Director/CEO to agree Terms of Business.
  • Own the user administration process registering new users with key providers and platforms and any associated online access that may be required.
  • Managing the user administration process with UNIPASS.
  • Reviewing users online access with providers.
  • Removal of access to provider websites and thus restricting access to SWP client data for any leavers where the starter, mover, leaver process has been implemented.
  • Maintaining a register of provider agencies and associated terms of business ensuring new agencies are not set up in error.
  • Engagement with key providers to request key management information.
  • Support other ad-hoc projects as required.
  • Processing stationery requests from across our satellite offices and remote advisers and monitoring stock levels to ensure our Wealth Planners and administrative process is well provisioned – liaising with facilities/print as required.
  • Daily ad-hoc queries from across Sanlam Group.
  • Some travel may be required, inclusive of initial visits to acquired entities and office visits as required in order that the Operations Officer and Operations Manager may be co-located to facilitate project work etc.
Skills and experience
Successful candidates are likely to demonstrate the following:
  • Demonstrable experience within a Financial Services – and specifically Financial Planning – environment.
  • Strong administration skills.
  • Highly organised.
  • Excellent customer services skills.
  • Strong organisational skills and the ability to work with a high level of accuracy.
  • Good communication skills both verbal and written.
  • Proficient in Microsoft applications – particularly Excel.
  • A good understanding of Intelligent Office.
  • Ability to maintain confidentiality where applicable
